How to reduce a PDF for a 2 MB upload limit.

Work towards a 2 MB PDF limit using page selection and compression. Check readability and file size, and learn what to do when it will not fit.

A target size is a limit to check, not a guaranteed result

PDF Toolbox does not have a “make exactly 2 MB” setting. How far a PDF can shrink depends on its images, page count and existing compression. The useful approach is to make a smaller copy, check the downloaded size and inspect the pages. Aim below the receiving website’s limit rather than relying on a rounded size shown as exactly 2 MB.

1. Read the upload requirements

Check whether the 2 MB limit applies to each file or the whole submission, whether multiple PDFs are allowed, and whether every page is required. If the site requires a readable scan or a particular page size, those requirements still apply after compression. Keep a copy of the original before making changes.

2. Remove only pages that are unnecessary

Open Delete PDF Pages to remove a duplicate or blank page, or Extract PDF Pages to keep specific pages. For example, entering 2-4 in Extract PDF Pages makes a three-page copy. Do not leave out information requested by the recipient just to meet a size limit.

3. Try the lossless mode first

In Compress PDF, choose your PDF and keep Preserve text and quality (lossless). Compare the sizes after processing. If the resulting file fits, download it and check its contents. This mode preserves text and page quality, so it may offer only a small reduction when a file is already optimised.

4. Reduce scan resolution if the tradeoff is acceptable

For scanned paperwork, try Image-based compression for scans. Start at Balanced · 110 dpi. If it still exceeds the limit, try Smaller file · 72 dpi and inspect small text closely. Image-based mode removes searchable text, links, form fields, bookmarks and accessibility tags. It is unsuitable when the submission needs those features.

5. Check the actual downloaded copy

Use the file information on your device to check the size, then open the PDF. Inspect fine print, names, dates, marks and every required page. A readable 2.3 MB file is not an acceptable upload to a strict 2 MB form, and an unreadable 1.5 MB scan is not a useful success either. These are example sizes, not predicted results.

If no readable version fits

Try exporting from the original document with smaller images, or make a fresh scan with a lower resolution if its text stays clear. Split the document only if the receiving website permits multiple files. Otherwise ask the recipient for another delivery route. Running the same compression repeatedly cannot guarantee a file below 2 MB.
