How to fill a PDF form and keep its fields editable.

Complete supported PDF fields, save an editable copy and troubleshoot forms that cannot be filled, including scans, read-only fields and XFA.

1. Check that the PDF contains interactive fields

Open Fill PDF Forms and choose the file. The tool reads standard PDF AcroForm fields and displays supported text boxes, checkboxes, radio choices and selection lists. A page that only looks like a paper form may have no fields at all. A scan or flat PDF needs a different editor or an interactive version from its sender.

2. Complete the fields shown below the file

Use the listed field names to enter your details. Radio-button choices appear as a choice control; checkboxes can be ticked or cleared. Some forms use technical field names rather than friendly labels, so compare them with the original document before entering information. Read-only fields are shown disabled and keep their original values.

3. Save and inspect the completed copy

Choose Save completed form, then open the downloaded PDF in the viewer your recipient will use if possible. Check every text field, checkbox and selected option. Pay particular attention to long answers and small fields: a successful download does not prove that all text fits visibly in the space provided.

The fields remain editable after saving

This tool saves filled values into the form and updates their visible appearance. It does not flatten the form into a fixed page image. If you need a final file whose fields are no longer interactive, use a PDF application with an explicit flattening function and review its output. An opening password controls access; it does not turn editable fields into fixed content.

If no editable fields are found

The file may be a scan, a flat document, an XFA form or a form containing only unsupported or read-only fields. PDF Toolbox does not create fields or convert XFA. Ask the sender for a standard interactive PDF, or use the application they recommend. If the PDF is encrypted, use Unlock PDF with a known password and permission before filling an unencrypted copy.

If your text cannot be saved

The current form filler uses a standard Latin font. Some characters and writing systems require fonts it does not yet provide. If the tool reports unsupported characters, use a compatible desktop editor that supports the required language. Do not replace names or other required information with inaccurate text just to make a file save.

If the form also needs a signature

Sign PDF can add a visible drawn, typed or uploaded mark to a page after you have filled the form. It does not fill a certificate signature field, verify identity or create an audit trail. Follow the recipient’s specified signing process when one is required.
